Sharing & Teams
Share projects with users, teams, or anyone via link shares. Covers permission levels and team management.
This page explains how to give other people access to your projects.
How do I share a project?#
Open the three-dot menu next to the project title, select Share, then choose one of these methods:

| Via link share | You want anyone with the link to access the project, no account needed |
Every method uses the same permission levels: Read, Read & Write, or Admin. See Permissions for details.
Sharing with users#
In the sharing settings, you can search for users by username. If the other user allows it in their privacy settings, you can also search by name or email address.
Once you find the user, choose a permission level and add the share.
The same permission levels apply to users, teams, and link shares.
Sharing with teams#
You can share a project with any team you are part of. Search for the team by name, choose the permission level, and add the share. All team members then get access at that level.
Available permission levels are the same for users, teams, and link shares.
Link shares#
Link shares create a URL that gives access to a project without requiring a Vikunja account.
Creating a link share#
When creating a link share, you can set:
- Name (optional): Used to identify comments left through the link share.
- Password (optional): Required before the recipient can open the project.
- Permission level: Choose from the same Read, Read & Write, or Admin permission levels described below.
Once created, copy the generated link and share it with whoever needs access.
Managing link shares#
All link shares for a project are listed in the sharing settings. Each entry shows the share name, creator, permission level, and link.
For each link share, you can:
- Copy the link to your clipboard
- Change the default view: Choose which view opens when someone follows the link
- Delete the share: Remove the link share entirely, immediately revoking access for anyone using it
Link shares cannot be edited after creation. To change the name, password, or permission level, delete the existing share and create a new one.
What recipients see#
Someone opening a link share can use the project according to the permission level you set, without a Vikunja account.
If the link is password-protected, the recipient must enter the password before seeing the project.
Permission levels#
Every sharing method (user, team, or link share) lets you set one of three permission levels: Read, Read & Write, or Admin. See Permissions for a full explanation of what each level allows.
Teams#
Teams let you group users so you can share projects with the whole group at once.
You can open teams from the left sidebar.
Creating a team#
To create a team, open the teams section and use the create button. Give the team a name and it is created immediately.
A team can also have a description.
Managing team members#
Once a team exists, you can add or remove members from the team settings.
Finding a user depends on that user’s privacy settings. You can always search by exact username, and sometimes by name or email as well.
Team admin role#
Each team member can optionally be a team admin. A team admin can:
- Add and remove members from the team
- Change whether other members are team admins
Being a team admin is about managing the team itself. Project-level permissions are controlled separately through the sharing settings described above.
Sharing projects with teams#
To share a project with a team, open the project sharing settings, find the team section, choose the permission level, and add the share. Current and future members of that team will get access.
