Trash

Deleted tasks and projects go to the trash for 30 days. Restore them, delete them forever, or empty the trash.

When you delete a task or a project, Vikunja moves it to the trash. It stays there for 30 days. Until then, you can restore it. After 30 days, Vikunja deletes it permanently.

The trash is available from Vikunja 2.8.0 onwards (or unstable builds).

Quick reference#

  • Open the trash: Click Trash in the left sidebar.
  • Undo a delete right away: Click Undo in the message that appears after you delete something.
  • Restore later: Open the trash and click Restore next to the task or project.
  • Get rid of something now: Click Delete forever, or use Empty trash.

Where to find the trash#

Click Trash in the left sidebar. The trash has two tabs:

  • Tasks: Deleted tasks, with the project they belong to.
  • Projects: Deleted projects. If a project’s sub-projects were deleted with it, click +2 sub-projects (or similar) to see them.

Each entry shows who deleted it, when, and how many days are left before it is deleted permanently. Hover over the date to see the exact time.

Deleting a task#

Open the task and click Delete in the right sidebar. You can also press Delete (or Backspace on a Mac) while the task is open.

There is no confirmation dialog. Vikunja goes back to the task’s project and shows the message “The task has been moved to the trash.” Click Undo in that message to bring the task back.

You need Read & Write permission on the project to delete a task. See Permissions.

Deleting a project#

Open the three-dot menu next to the project title and select Delete.

The dialog tells you what will move to the trash, for example: “Moves this project, 2 sub-projects and 14 tasks to the trash. They are deleted permanently after 30 days.” If people logged time on the project, it also says how many time entries are affected and that they are kept.

After you confirm, Vikunja shows “The project has been moved to the trash.” Click Undo to bring the project back.

Things to know:

  • Sub-projects go with it: Deleting a project also moves all of its sub-projects to the trash.
  • Admins only: You need Admin permission on the project to delete it.
  • Default projects: You can delete your own default project. You can’t delete a project that another user owns and uses as their default project. If you delete your default project, you no longer have one. Restoring it does not set it as your default again. You can pick a new default in Settings.

Restoring from the trash#

Open the trash, find the task or project, and click Restore (the arrow icon).

  • Tasks go back to their project. In a Kanban view, a restored task goes into the default bucket, or into the done bucket if the task is done.
  • Projects come back with all of their sub-projects that are in the trash, including sub-projects that were deleted on their own before. Tasks that were deleted on their own stay in the trash. Restore them from the Tasks tab.

If you open a deleted task or project, for example from a bookmark or a notification, Vikunja shows a notice like “This task is in the trash.” It tells you when it was deleted and how many days are left. If you are allowed to restore it, the notice has a Restore button and an Open trash button.

Restoring a task whose project is in the trash#

When a project is in the trash, its tasks are not shown on the Tasks tab, even tasks you deleted on their own. To get them back, restore the project first.

If you open a task from a deleted project, you see the notice “This project is in the trash.” Click Restore there to restore the project. The task opens again once the project is back.

Restoring a sub-project whose parent is in the trash#

You can’t restore a sub-project on its own while its parent project is in the trash. If you open such a sub-project, the notice offers Restore parent project instead. This restores the topmost deleted parent and everything under it, including the sub-project you opened. The button only shows up if you have Admin permission on that parent project.

Archived projects#

You can’t restore a task while its project is archived, and those tasks don’t show up on the Tasks tab. Unarchive the project first.

The same goes for a project whose parent project is archived: unarchive the parent, then restore the project.

Deleting permanently#

To delete something before the 30 days are up, click Delete forever (the trash can icon) next to it in the trash. Vikunja asks you to confirm.

  • A task is deleted with its comments, attachments, reminders, and relations. Its time entries stay with the project.
  • A project is deleted with its sub-projects, tasks, views, and shares. Time entries stay with the people who logged them, but no longer belong to a project.

This cannot be undone.

Emptying the trash#

Click Empty trash at the top of the trash. This empties the tab you are on, so emptying the Tasks tab does not touch the Projects tab.

The dialog tells you how many items will be deleted. If other people moved items to the trash too, the dialog says how many and shows a checked checkbox, for example Also delete tasks other people moved to the trash. Uncheck it to delete only items you moved to the trash yourself.

Emptying only affects items you are allowed to delete permanently. See who can do what.

Who can do what#

What you see in the trash depends on your permission on the project.

If you can restore a task but not delete it forever, the Delete forever button is not shown.

People who use a link share don’t have a trash and can’t open it.

Automatic deletion after 30 days#

Items in the trash are deleted permanently 30 days after they were deleted. Vikunja checks for expired items every hour. The 30 days are fixed and can’t be changed.

The trash shows how many days are left for each item. On the last day, it says “deleted permanently today”.

While something is in the trash#

  • Link shares stop working: Link shares of a deleted project stop working while it is in the trash. They work again after you restore the project. Deleting the project forever removes them.
  • No reminders: Tasks in a deleted project don’t send reminders or overdue notifications.
  • Running timers stop: If someone has a timer running on a task when it is deleted, the timer stops.
  • Time entries are read-only: Time entries for deleted tasks or projects are marked In trash and can’t be edited. While a project is in the trash, only the person who logged a time entry can see it.
  • Project identifiers stay reserved: A deleted project keeps its identifier. You can’t give the same identifier to another project until the deleted one is gone for good.

The trash does not replace backups. If you host Vikunja yourself, see What to backup.
